PURPOSE

Dufferin Community Foundation (“DCF”, the “Foundation”) is committed to protecting your privacy and safeguarding the personal information of its Fundholders, Donors, charitable and other community partners, grant applicants, website users and “Team Members” (i.e., Foundation board directors, public members, contractors, employees or volunteers). DCF values the trust of those we deal with and the public. We recognize that maintaining this trust requires transparency and accountability in how we treat the personal information that is shared with us.

This Privacy Policy (“Policy”) outlines the principles and guidelines for how DCF governs the collection, use, disclosure, and management of information about identifiable individuals (“Personal Information”) collected in the course of our charitable activities and operations, including our website.

It is designed to ensure transparency, accountability, and compliance with applicable privacy laws and regulations, including Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA). DCF may collect Personal Information when you provide it to us, such as your e-mail address, name, home address or telephone number. DCF may also collect demographic information, such as your postal code, age, gender, preferences and interests. 

Please keep in mind, when considering whether to provide Personal Information through the DCF website, that any information you provide may be collected and used by others. 

DCF may collect information about your visits to our website, including the pages you view, the links you click and other actions taken within our website. We also collect certain standard information that your browser sends to every website you visit, such as your IP address, browser type and language, access times and referring website addresses.

By providing your personal information to us, you consent to its collection, use, and disclosure as outlined in this Privacy Policy. You may withdraw your consent at any time, subject to legal or contractual obligations

What Personal Information Might We Collect? 

    • Professional and/or personal contact information, such as first and last names, address(es), email address(es), date of birth and telephone number(s).
    • Biographical information, such as job title, employer, professional and/or personal background.
    • Marketing information and communication preferences, as well as related information such as dietary preferences for meetings or events, comments, and survey responses. 
    • Information relating to participation in DCF events, billing and financial information, such as billing address, bank account, or payment information.
    • Service-related information, such as details of services we have provided or rendered to you.
    • Information about your professional background, your networks, your social involvement, your professional affiliations and family ties. 
    • Recruitment information, such as curriculum vitae and resumes, education and professional education, work history, details of professional affiliations and other information relevant to potential recruitment by DCF. 
    • Website usage and other technical information, such as details regarding visits to our websites, your interaction with our communications and online content, or information collected through cookies and other tracking technologies partners, network members or other stakeholders, which may, where relevant, include special categories of Personal Information.
    • Information such as your donation and community investment policy, your contributions, the recipient organization, and what, if anything, they are dedicated to, the recognition received, the decision-making process, and the people involved in the organization and this process. 
    • Any other Personal Information provided. Please note that if you provide us with Personal Information about other people, such as your customers, administrators, managers, directors, officers, shareholders, or beneficial owners, you must ensure that you have duly notified them that you are providing us with their information and that you have obtained their consent to such disclosure.
    • Where applicable, evidence of consent given to us (date, time, means), in circumstances in which such consent is necessary for the processing of Personal Information. 

We do not knowingly collect information from children or others under the age of 14. If you are a minor under the age of 14, please do not provide us with any Personal Information without the express consent of a parent or guardian. If you are a parent or guardian and you are aware that your children have provided us with Personal Information, please contact us. If we learn that we have collected Personal Information from minor children without verification of parental consent, we will take steps to delete this information from our servers. 

Where do we Collect Your Personal Information?

We collect Personal Information from you through our interactions with you, as follows: 

    • When you register for events and newsletters; 
    • When you apply for grants, participate in review or review committees;
    • When you apply for job postings or join our staff;
    • When you volunteer for our Board of Directors, committees or other groups; 
    • When you participate in DCF surveys and consultations; 
    • When you provide services to us, and; 
    • During correspondence by mail, email or telephone. 

We also collect publicly available information on public platforms, including our website. 

How do we Use Your Personal Information?

We collect personal information to:

    • Process donations and issue tax receipts.
    • Communicate with donors, volunteers and grant applicants.
    • Administer grants and charitable programs.
    • Recruit and manage employees, contractors and volunteers.
    • Comply with legal and regulatory requirements.
    • Improve our website and services.

With Whom Do We Share Your Personal Information? 

Your personal information will not be rented, sold, traded or shared with any third party. However, we may share information in the following circumstances:

We will only use Personal Information for the primary purpose and the applicable, legitimate purpose for which it was collected, or for purposes consistent with that primary purpose.  DCF uses the services of third-party sites, such as Instagram, Facebook, Linkedin, and Google, to promote its content and offers.  When you visit our website, these third parties may use cookies, web beacons, or similar technologies to collect or receive information about your browsing on the website and elsewhere on the Internet. These technologies enable us to deliver relevant communications targeted to your interests. You can consult cookies and delete them if you wish. Therefore, you have full control. How do we Protect Your Personal Information?

DCF is committed to protecting the security of your Personal Information. We follow generally accepted industry standards to protect the information submitted to us, both at the time of transmission and once we have received it. We maintain appropriate physical, technical, and administrative safeguards to protect Personal Information against accidental or unlawful destruction or accidental loss, alteration, unauthorized disclosure, or access, misuse, or other unlawful forms of processing of Personal Information in our possession.

We have taken steps to ensure that only Team Members who have access to your Personal Information are those who have a need to know or whose duties reasonably require them to know it.

However, no method of transmission over the Internet, nor any means of electronic storage, is 100% secure. We therefore cannot ensure or warrant the security of any information you transmit or provide to us, and you do so at your own risk. Nor can we guarantee that such information will not be accessed, obtained, disclosed, modified, or destroyed as a result of a breach of our physical, technical, or administrative safeguards. Some of the Service Providers used by DCF may be located outside of Canada or have computer servers located outside Canada. In such an event, your Personal Information may be seen by foreign governments or their agencies.

In certain instances, DCF offers its members and others an opportunity to limit the collection, use and sharing of their Personal Information. For example, you may choose not to receive communications material from DCF, on its own behalf or on behalf of third parties, and may stop the delivery of future newsletters or marketing communications. Subject to applicable law and, where applicable, the payment of a monetary sum, the individual may receive a copy of the Personal Information we hold and certain other information concerning them. 

2. Ensuring Accuracy: DCF takes reasonable steps to ensure that the personal information we hold in our possession is accurate, complete, not misleading and up-to-date. 

3. Rectifying Incorrect or Incomplete Data: Individuals may request rectification of any incomplete or inaccurate personal information held by DCF. 

4. De-indexing Data Upon Request: Individuals may request that we stop disseminating their personal information or de-index any hyperlink attached to their name giving access to information if such dissemination causes them harm or contravenes the law or a court order. There may be circumstances where DCF is legally required to retain certain information. This could include compliance with Canadian laws, regulatory requirements, or other government mandates that necessitate the retention of specific data. 

5. Anonymizing Data: Individuals may request that, instead of destroying personal information, DCF anonymize personal information in order to use it, but only for serious and legitimate purposes, such as keeping information required for possible tax inspection purposes.

If a user’s Personal Information changes (such as postal code or email address), or if a user no longer desires our services, we will endeavour to provide a way to correct, update or remove that user’s Personal Information provided to us.

DCF encourages you to periodically review this Privacy Policy. DCF will occasionally update or change this Privacy Policy. When DCF makes changes to this Policy, the date that this Policy was last updated will appear at the top of this Policy.
